Client
1. How do I import my address book from another application into my Fax Client (Local) address book?

The latest Fax Clients allow you to import contact lists that were created in or exported from other applications such as FileMaker, Excel, Outlook, etc. These lists can have many more columns (fields) than before, and the Fax Client allows you to map your field headings to match our preset headings. Just follow the steps below:
1) In the Fax Client, go to File menu/Import, and choose Delimited file as the format of your database, then follow the prompts to locate and select your tab-delimited file.
2) At this point a mapping interface appears. Your field headings are on the left (Source Fields), and 4-Sight Fax is on the right (Target fields). Simply highlight a Target field, then double-click the Source field that matches, and you will see your Source field name move over to the far right column, called Import Field. Repeat this process until all of your headings have been mapped.
You can also click the Guess button to allow the Fax Client to automatically match as many Source and Target Fields as it can. When you are finished, click OK. Your contacts will now be imported into the current address book that you have selected in the Fax Client.
**Important: in order for mapping to work correctly, you must have your field headings inserted as the first row of your delimited file. For example, if your first column is the Name field, then the first row in your delimited file for that column must be the word "Name", etc. Please see the the Fax Client User's Guide for more information on importing address books.**
Caution: By default, individual Personal Address Books reside under the {Home} folder for each Account on the host computer. The default path is... {Home}/Documents/4-Sight Fax User Data/Client/4-Sight Fax Address Book.4ab. If two or more users are sharing a Mac and logging in with separate Accounts, care must be taken to avoid losing new data added to the Personal Addresss Book. The easiest way to do this is to move the Personal Address Book to the Shared folder on the Mac so that all users will have Read & Write permissions to a shared Personal Address Book. Otherwise, each user must select the Personal Address Book residing in that user's {Home} folder whenever 4-Sight FAX Client is started in order to have Read & Write permissions to the address book.

2. When I import address book information, how can I concatenate the First Name and Last Name into the Full Name field?

Most spreadsheet applications have the ability to concatenate first and last names together into a full name within a single cell. In Microsoft Excel (Mac OS X or Microsoft Windows), the command is Concatenate. You will need two additional columns to work this out. If you want the full first and last name string separated by a space in the C column and are working in the first row, for example, the command in cell C1 looks like this: =Concatenate(A1," ",B1) in the standard Excel command format that is preceded by an "=" sign with parameters separated by a comma. Copy and paste this command into the "C" column of Excel so that all first and last names are made into full names in the C column.
There is one more step required because leaving the first and last name as a formula cell entry would create new problems for you when you attempt to import. Once you have column C populated with full names, perform a "Copy" from the entire data-filled portion of the C column and select "Paste Special" with the cells in the D column selected. When the Paste Special dialog appears, select the "values" button so only the data values are copied and not the formula. At that point, you could delete the "C" column values derived from the formula as they are no longer needed.
3. When I attach a document, the "Loading Attachments: Please wait"? dialog appears, and never goes away. My attachment never opens. What do I do?

Please make sure that the 4-Sight FAX print driver has been added to your printer list. This can be found inside your Utilities folder on your hard drive.
Check the name of your attachment file. Make sure it does not contain forward slashes, colons, or other unusual characters. These can cause the 4-Sight Fax Print Driver to pause while imaging an attachment. If the problem continues, please contact 4-Sight FAX Technical Support.
4. Why are all of my outgoing faxes being Rejected?

- Enforce group name as public -- Ask your Fax Administrator to check your User definition on the Fax Server to make sure that "Enforce Group Name as Public" is NOT checked. This setting, which is rarely used, requires that users send faxes under the name of a group of which they are a member. If "Enforce Group Name as Public" is enabled but you are not a member of a group, your faxes will be Rejected by the Fax Server.
- Priority violation - Another reason for rejected faxes is that they are submitted at a higher priority than is permitted in the User definition on the Fax Server. See Question 10 in the General section.
- Grayscale setting - Faxes will also be Rejected if the Fax Server is set to Reject Grayscale Faxes or your outgoing fax has a higher level of grayscale than the Fax Server permits. On the Fax Server, visit Setup -> Imaging to review the grayscale settings.
- Predial Prefix -- If an access number is required to reach an outside line, that number, followed by a comma, should be configured as the Predial Prefix in Device Setup -> Configuration on the Fax Server. The Predial Prefix should not appear in the Address Book or be added to a number on the Fax Client.
- Wrong number -- Finally, check the telephone number that is being dialed for each rejected fax to confirm that the number is a valid fax number. If the fax number came from the Address Book, look to see if Smart Dial is enabled. On the Fax Server, check to see that Setup -> Dialing is properly configured for Country Code, Area Code and Area Code Rules. See Server FAQ #4 for information on detecting and correcting invalid fax numbers.
- For faxes in "Imaged" status, see Server FAQ #4.
- For faxes in "Prep" status, see Server FAQ #6.
- For faxes in "Waiting" status, see Server FAQ #9.
5. How can I view a fax I have just created, including the cover page, before it is sent?

Once you have created your fax and set up the cover page, schedule the fax for, say, an hour ahead of your current time. Then click the Send button to send it to the Server. Once the fax appears in the Outgoing Faxes folder as "Imaged", you can then view the fax by double-clicking on it or click the View button. Then if you wish to send the fax immediately, simply click the Edit button, and in the Scheduler, change the time to the current time (or earlier), and the fax will send.
6. If I have full queue access, why am I not seeing all the faxes?

To see all faxes, you need to be configured on the server as well as the client. To do this, follow these steps:
1. On the server
- Setup->Security Setup->User Setup->Edit User->Make sure Full queue access is checked
2. On the client*
- After logging in, select the Queue to view and enable (check) Show all users
*You must be logged in to the server from the client to be able to set this preference.
7. If I have full queue access but have turned off Show Faxes for all Users, why am I still seeing faxes from other users?

This will occur if you send fax(s) using an alias name. By sending a fax using an alias name, you are logging in as yourself, but choose to send the fax using someone else's name.
The opposite effect of this situation is when your name was aliased by someone else to send a fax, and you do not actually send it, then you will not see the fax unless you have full queue access and 'show all faxes' selected.
8. How do I ensure the OS 9.2 Fax Client has enough memory?

While 4-Sight Fax version 5 requires more than 64MB of installed memory, we recommend 96MB of memory. If you have only 64MB in your system, you may experience some performance and reliability issues. To increase stability, you can install additional memory to your system or set up virtual memory to more than 96MB.
You can set your virtual memory size by following these steps on your Macintosh:
- Apple Menu->Control Panels->Memory->Make sure Virtual Memory is turned On then set your virtual memory size to at least 96MB
9. Can I be notified of new faxes even if I'm not running the client?

Yes. The 4-Sight FAX Client does not have to be running for you to be notified of new faxes. Because the 4-Notify program launches at startup and always runs in the background, it is responsible for checking for and notifying you of new messages. Within the 4-Sight FAX Client preferences, a user can specify the interval to check the FAX server. The 4-Notify program checks the 4-Sight FAX Server for your new fax messages at this interval.
10. On startup, why am I get an error saying 'Error loading <*> Preferences'?

If any part of the path to a 4-Sight Fax data file is an alias to a mountable volume, that volume must be mounted for the 4-Sight Fax Client to find the file. An unavailable volume will result in the above error message, and failure to load the user's data.
11. If I don't like the sounds, can I turn them off?

Yes. You can disable the sounds for all users of a particuler Fax Client or you can adjust the sounds on a user-by-user basis as follows (respectively):
- Fax Client->Preferences->Feedback->Remove the check from the Play Sounds option.
- In the Folder List, select a User, then Tools->Account Settings->Notification->Notification Method: disable Chime or enable Chime and select the sound you prefer.

12. Can I backup a Local Address Book?

Yes. To backup a local address book, select the address book you want to backup from the Folder List, then follow these steps on the client:
- File->Save As->Choose a directory folder to hold the backup copy of the address book then click Save

13. How do I set the Priority of a Fax?

The priority of a fax can only be specified from the client. Follow these steps in the composer window to specify a fax's priority:

14. How can I see the Fax Number exactly as it will be dialed?

You can see this in the Client Composer's Recipients List. There are two types of recipients regarding dialing:
1: Smart Dialing* recipient
- A Smart Dialing recipient's fax number will show exactly as dialed once it has been moved into the recipients list. It will not display the number exactly as dialed when in the Address List; therefore, you must select a user as a recipient to view the exact fax number dialed by the server.
*You MUST be logged into the server for this to work.
2: Standard recipient.
- A Standard recipient will be dialed exactly the way you entered the Fax Number and will never be changed by the server.
15. How do I search on the client for keywords that match EXACTLY?

On the client, there are controls that allow users to filter or search the active queue or folder for keywords. These controls are located above the active queue or folder shown in the main window of the client. To search for exact keywords, type the keyword to the right of the Starts With selection.
16. How can I search for faxes by Last Name?

On the client, there are controls that allow users to filter or search the active queue or folder for specific last names. These controls are located above the active queue or folder shown in the main window of the client.

The problem lies in the failure of Apple's TextEdit application to properly handle the fax request from the 4-Sight Fax client.
To work around this problem, open your text file in TextEdit and follow these steps:
- File->Print->Make sure 4-Sight Fax option is chosen then click Print
18. Why don't my PDF faxes look right on Windows?

If you fax directly from Acrobat Reader using Windows and do not fax the file as an image, this problem can occur. To overcome this, follow these steps when sending a fax from Acrobat Reader:
- File->Print->Make sure the option Print as Image is selected then click Print
19. How can I check the progress of my attachment on OS X?

You can check on the progress of an attachment print job by choosing the 4-Sight Fax option in the "Print Center" of your OS.
20. When I change my cover page selection in the client, why doesn't the viewer show the new cover page?

Because cover page imaging is NOT done on the client, the client viewer will only display attachments. When there are no attachments, a logo image is displayed, but this is not a cover page image. If you were to change your cover page in the client viewer, you will not see any changes in the viewer until you add attachments, in which only the attachments are loaded into the viewer not the cover page.
21. When adding AppleWorks attachments in the client, why does it prompt me to change my setup but then nothing happens?
The problem lies in the failure of the AppleWorks application to properly validate the fax request from the 4-Sight Fax client.
To work around this problem, open your AppleWorks file in AppleWorks and follow these steps:
- File->Print->Make sure 4-Sight Fax option is chosen then click Print.
22. Why doesn't my User Name (or Alias) appear in the Sender List when I compose a fax?

This means your user login has been restricted to send faxes only under a 'public' name. To lift this restriction, follow these steps on the server:
- Setup->Security Setup->User Setup->Users->Make sure Enforce group name as public is unchecked
23. Why don't the other registered users appear in the Sender List when I compose a fax?

This means your user login has been restricted from using aliases. To lift this restriction, follow these steps on the server:
- Setup->Security Setup->User Setup->Users->Make sure Allow username alias is checked
24. What do Save and Open do in the Composer?

The Save command allows you to save the current fax to disk. You can then access this saved fax with the Open command. Here are a couple of examples:
- You start composing and want to finish at a later time. You can save the fax and reopen it later to continue. This is like having a 'Drafts' folder, except you can choose where to save the fax on disk.
- You routinely send faxes with the same subject and cover page to the same recipient or recipients. By saving a copy of this fax, you can access this copy and generate new faxes more quickly than starting over from scratch each time.
25. If I change the Subject of one Outgoing Queue item in a multi-recipient fax, why is the Subject changed for all items?

Because the server treats the Subject as a property of all the faxes that are grouped together even through multiple items show up in the Outgoing Queue, changing this Subject on one fax will change the subject for all.
In contrast, the Scheduled date/time is treated as a property of each fax in the group, so a change you make on the date/time on any one fax applies only to that fax.
26. What is the Salutation field for?

When adding or modifying an Address Book or Group contact, the Salutation field should be populated with Mr., Mrs., Sir, Madam, etc.
27. What's the difference between Client Preferences and Account Settings? 
Client Preferences apply to all valid User Accounts that have been enabled on the Fax Client. Preferences are categorized as Fax Preferences, Feedback Preferences and Advanced Preferences. On the Fax Client menu bar, select Preferences under Fax Client to see the settings.

30. Can I delete my 4-Sight Fax Client Preferences files and start over? 
Yes, but we suggest that you first try the Client Preferences Reset function by going to Fax Client -> Preferences on the menu bar. On the Fax tab of the Preferences dialog, click the Reset button in the lower left corner.
If the Reset does not solve your problem, you may delete or rename the top-level folder listed for your platform. Be sure to start from the proper $Home folder to avoid deleting another user's informtion.
- On Mac OS X: /Users /{$Home} /Library /Preferences /4-Sight Fax /Client
- On Mac Classic: {$MacHD}:System Folder:Preferences:4-Sight Fax:Client
- On Windows systems: {$Home} \Application Data \4-Sight Fax \Client \
Obviously, all your client preferences will be lost, and you will start as if this were a fresh installation. But doing this has NO effect on the server's data, only the data that is used by your client.
31. If I changed my password on the Fax Client, why can't I log in to the Fax Server?
The password you set on the Fax Client must match the password that is already set on the server.

32. Why does my login fail with the error message 'You are already logged in to this Fax Server from another machine?

This is typically caused by:
1. Either you or someone else using your User Name has logged in from another client. If you have set your User Account to login automatically, that could be the reason.
2. The 4-Sight Fax Client has crashed and stopped communicating with the server. Because of this, the server will not log out your client until after 10 minutes. If you attempt to reconnect within this 10-minute period, the above error message will be displayed and the login will fail.
33. Why do legal-sized (8.5" by 14") documents get truncated when faxing from the OS 9 client?

Certain applications (like Word) can override the default Page Setup in OS 9. Because the Page Setup is usually set to letter-size (8.5" by 11"), faxes that are legal-sized (8.5" by 14") will be truncated to the default letter size (8.5" by 11") when faxed. To workaround this issue, open the document in the application (like Word), change the Page Setup to legal size, and save the document. Once saved, send the fax from the application by clicking print and follow the usual faxing steps.
34. I am creating a TIFF file in another application for use with 4-Sight FAX. What properties are required for this TIFF file to be compatible with 4-Sight FAX?

The TIFF file must have specific properties in order for the Fax Server to accept it.
To be compatible with 4-Sight FAX, the TIFF properties must be:
- color: 1 bit per pixel (black & white)
- width: approximately 8.5 inches
- height: not larger than 14 inches
- horizontal dots-per-inch: 204
- vertical dots-per-inch: 98 or 196
- compression: CCITT_FAX3, CCITT_FAX4, or CCITT_RLE
You can inspect the properties of the TIFF file using a tool such as GraphicConverter® by Lemkesoft, GmbH®.
35. Can I fax from the Classic environment in OS X?

Yes, if you have a Macintosh that can startup in both OS 9 and OS X. You must install the complete OS 9 Client while the computer is started up in OS 9, and you must also install the OS X Client while the computer is running in OS X. Now, you can launch a Classic application, and fax as usual. The OS 9 Fax Composer will open when faxing from a Classic application.
Server

1. Is it possible to run 4-Sight FAX Server as a background task? 
Yes, by using the Fast User Switching feature of Mac OS X.
Discussion: 4-Sight FAX Server typically runs as a task under a Mac OS X Administrator account in order to have the Read & Write permissions necessary to update the Incoming and Outgoing fax queues and other files when necessary. If 4-Sight FAX Server runs under a non-Administrator account, it must still have proper permissions in order to do its job.
Under Panther (10.3 and later), Mac OS X supports multiple simultaneous log-in accounts through the Fast User Switching feature. This feature allows multiple accounts to be running concurrently, although a password is still required to switch accounts (via the Finder menu bar in the upper right-hand corner). While multiple accounts can be active, only one account is displayed on the computer monitor. Fast User Switching allows Fax Server to be running in the background on one account while a user is logged in on another account.
To enable Fast User Switching, go to System Preferences --> Accounts. Unlock the padlock in the lower left corner, then choose Login Options at the bottom of the Account list. Place a check in the box beside "Enable Fast User Switching." Configure the 4-Sight FAX Account to log in automatically at startup with 4-Sight FAX Server as a Login Item that will open automatically when the Account logs in.
This allows 4-Sight FAX Server to run under one Account while another account is in use. The key is that 4-Sight FAX Server must be launched either automatically or manually under an Account that has proper permissions to the necessary files. If 4-Sight FAX Server is not running, it will not be available to the Fax Clients.
Reminder: The 4-Sight FAX Server host computer should have a static (manual) TCP/IP address to ensure that the Fax Clients will always know where to find the Fax Server.
2. Why is the Caller ID feature not available?

There are three requirements for the Caller ID feature to be supported in 4-Sight FAX:
1. You must have Caller ID service enabled on your fax line. Caller ID service is available by subscription from your local telephony provider.
2. The modem must support Caller ID detection. MultiTech modems on the 4-Sight FAX Supported Modems list are Caller ID-capable. For information about Caller ID support with Apple modems, click here.
3. Currently, modems on the 4-Sight FAX Supported Modems List offer support for Calling Line Identification according to the North American (Bellcore) standard for CLI. We are investigating the possibility of adding support for modems that are compatible with the CLIP - Calling Line Identification Presentation standard used by some European countries (and others) for wireline and GSM telephones.
Assuming that all of the above are true, you can enable Caller ID reporting on the 4-Sight Fax Server in Device Setup. For each fax line that is CallerID-capable, place a check in the box beside "Enable CallerID." Similarly, if you intend to use the CallerID Block-List, place a check in the box beside "Use CallerID Block-List." If the boxes are not available to be checked, the modem for that line is not CallerID-capable.
Keep in mind that Calling Line Identification can be blocked from the source of the call. In that case, a 'P' (Private) or some other character such as 'O' may appear in the From # column in the Fax Server's Incoming Queue display to signify that the transmission of Calling Line Identification was blocked.
3. Why are some of my faxes not appearing in the queues?

One of the main reasons why completed faxes do not appear in the Outgoing Queue is that they have been Archived or automatically removed from the Outgoing queue. Check your Queuing and Archiving Setup on the Fax Server to make sure these features are scheduled to give users plently of time to re-examine their faxes before being archived or removed.
If the Fax Client is sending faxes to the Fax Server but they never appear in the Outgoing Queue, there may be a problem with File Permissions on the Fax Server. To verify settings, do this...
- 1. Quit the Fax Server.
- 2. Select Applications from the Finder's "Go" menu.
- 3. Find and select the "4-Sight Fax Server" folder.
- 4. Select "Get Info" from the Finder's "File" menu.
- 5. Click on the arrow for "Ownership & Permissions".
- 6. Click on the arrow for "Details".
- 7. Choose "Read & Write" for You Can, Owner, Group, & Others.
- 8. Click "Apply to enclosed items".
- 9. Close the Info window.
- 10. Pause a few seconds, then launch Fax Server.
- 11. Test your changes.
Other issues can cause faxes not to appear in the queues as well. These include disk problems, misplaced files, and network issues. Follow these tips:
1) Perform regular disk maintenance on the Fax Server computer using the Mac OS X Disk Utility. Make sure that you back up your hard drive regularly to avoid losing the Fax Queues and Archives in the event of a disk crash.
2) DO NOT move any of the installed 4-Sight FAX files from their current locations! This can create problems with the Server and Client.
3) Check for network problems, such as loose or disconnected cables, and hubs or switches which are not powered on. Try connecting one machine to the other using AppleShare. If an electrical storm recently occurred nearby, power down all of your hubs and switches. Wait 10-15 seconds, then power them back on again.
If you perform all of these steps and still have problems viewing or downloading faxes, please contact 4-Sight FAX Technical Support.
4. My outgoing fax is sitting in the Outgoing Queue with a status of "Imaged" and is not being sent. How do I correct this?

- Scheduled fax -- The fax is scheduled to be sent at a later time.
- Enable Outgoing -- On the Fax Server, go to Setup -> Device. Check each fax line to confirm that at least one of them is enabled for Outgoing. If no fax line is enabled for Outgoing, all outgoing faxes will remain in Imaged status until at least one fax line is enabled for Outgoing. If there is no dial tone available on a particular fax line, the effect is the same as if that line is not enabled for Outgoing.
- Tone Detection -- On the Fax Server, go to Setup -> Device. In Configuration for each fax, check the setting of Tone Detection. The default setting is Dial and Busy Tones. Check the Fault Log for dial tone errors.
- Minimum Priority -- Also in Device Setup, check the Minimum Priority level for outgoing faxes. Near the bottom of the Device Setup window is a setting for Minimum priority of messages to process. The default setting is Bulk. If the setting for a particular fax line is higher than Bulk, outgoing faxes with a lower priority will not be sent on that fax line. For example, if the fax line is set to a Minimum Priority level of ASAP, then your fax must have a priority level of either ASAP or Urgent or it will not be sent on that fax line. The first fax line should never be set to Urgent. Note: The priority level of an outgoing fax is set on the Client. Once you click the New Fax button, go to Cover Page -> Priority and select the priority level. You will have to set the priority level for each new fax that you create. For more information on Fax Priority, see General FAQ #10 & General FAQ #11.
- Predial Prefix -- If an access number is required to reach an outside line, that number, followed by a comma, should be configured as the Predial Prefix in Device Setup -> Configuration on the Fax Server. The Predial Prefix should not appear in the Address Book or be added to a number on the Fax Client.
- Wrong numbers -- Invalid fax numbers can also cause outgoing faxes to remain in "Imaged" status or to enter "Failed" status. Check the Fault Log to see if the numbers dialed are valid or invalid. Invalid fax numbers will occasionally cause the modem to throw a spurious "No Dialtone" error or a "No carrier" error. You should dial suspicious numbers from your desk telephone and listen for a fax machine to answer your call. Also, check to see that Smart Dial is enabled on the Fax Server and in the Address Book for each recipient whose fax number is not what it should be.
- It's about time -- Another possible cause for an outgoing fax to remain in "Imaged" status is that the time on the Fax Client’s clock differs from the time on the Fax Server’s clock by a significant number of minutes. Check the Date/Time settings on both machines and make sure the date, time (including AM/PM), DST (Daylight Saving Time) and time zone are set correctly. To avoid problems in the future, enable automatic date and time setting in Mac OS X System Preferences for all 4-Sight FAX Clients and the Fax Server.
- File Permissions -- There may be a problem with File Permissions on the Fax Server as discussed in Server FAQ #3.
- For faxes in "Prep" status, see Server FAQ #6.
- For faxes in "Waiting" status, see Server FAQ #9.
- For faxes in "Rejected" status, see Client FAQ #4.
Note: Due to timing issues related to Daylight Saving Time in North America, 4-Sight FAX 7 customers should be on 4-Sight Fax Server version 7.0.4 or higher. Fax Clients should also be on version 7.0.4 or higher as noted in Server FAQ #17. This applies to all customers, not just those in North America.
5. I changed the IP address of my Fax Server machine, but the old IP address is still listed on the Client. How do I get rid of the old IP address?

When you change the IP address on the Server, you must always restart the Server machine in order for the Mac OS to clear any record of the old IP address. Otherwise, the Fax Server may broadcast both addresses. If, after restarting the Server, you still see the old address on the Client, then this means that the Client is retaining the old address, probably because it was manually entered, rather than picked up from the Server broadcast. In this case, go to Tools menu>General preferences on the Fax Client, and click the Reset button. This resets all of the Client’s preferences to their default values, and it will clear the Client’s record of the old IP address.
6. Why is my fax sitting in the Server's Outgoing Queue with a status of "Prep", and not being sent?

First, make sure that your server is configured to send outgoing faxes by following these steps on the server:
- Setup->Device Setup->Make sure the Enable Outgoing box is checked*
*This box can become unchecked if another application on the machine has "grabbed" the modem device.
If the above is set correctly and the fax is still unsent, the problem could be that:
1. You are working offline and not connected to the server.
2. You have hardware issues with the modem and need to check the modem connections and make sure the modem is working properly.
3. You have analog line issues and need to contact your telephone service provider.
4. There may be a problem with File Permissions on the Fax Server as discussed in Server FAQ #3.
7. Why is my 4-Sight FAX Server not receiving Incoming faxes?

Ensure that your Fax Server is configured to receive incoming faxes by following these steps on the server:
- Enable Incoming Go to Setup -> Device and confirm that Enable Incoming is checked for at least one fax line.
- Check Communications for each fax line in Device Setup to confirm that the port is valid and active.
- Close all dialog windows on the Fax Server. As a matter of course, no window should be left open on the Fax Server other than the Incoming Queue window, the Outgoing Queue window and/or the Users window if desired. All other windows should remain closed except when they are in use.
If Enable Incoming is set correctly, quit Fax Server, wait 30 seconds and launch Fax Server again. If Fax Server is still not receiving, check the following:
1. MultiTech's external modems have two jacks for telephone line connections. The telephone wall cord should be plugged in to the Line jack on the modem. The Phone jack is not used with 4-Sight FAX unless an extension telephone is in use. If a fax machine is in use in conjunction with 4-Sight FAX, do not connect the fax machine to the Phone jack of the modem. Instead, use a Y-adapter plugged in to the wall jack to connect the fax machine. If a fax machine is sharing a fax line with 4-Sight FAX and 4-Sight FAX is expected to receive incoming faxes on that line, the fax machine should not be allowed to answer incoming calls ahead of or in conjunction with 4-Sight FAX.
2. There is a real fax machine connected to the same incoming fax line and it is automatically answering the same incoming call that 4-Sight FAX is trying to answer. Because Caller ID information is transmitted between the first and second ring, 4-Sight FAX requires at least 2 rings before it answers the incoming call and sometimes more. If a real fax machine is connected to the same fax line that 4-Sight FAX is using, the real fax machine should be set to manual mode so that it will not answer incoming calls. Instructions for setting the real fax machine to manual mode can be found in the documentation for that particular fax machine. If the printed documentation that came with the fax machine has been misplaced, an Internet search will usually locate the necessary information. If assistance is required, please contact 4-Sight FAX Technical Support and include the brand and model of the fax machine.
3. The 4-Sight FAX Fault Log contains messages created by the modem. Go to the Applications -> 4-Sight Fax Server 7 folder to find the Fault Log. Open the Fault Log and examine it for messages that indicate the nature of the problem. The most recent errors are at the bottom of the list.
4. The telephone line is not active. Try sending a fax using that particular line. A status of "No Dialtone" indicates a dead or disconnected fax line. If the telephone line is completely dead, contact your telephone service provider.
8. How can I tell the difference between Incoming Faxes that have been read and those that have not?

When viewed in the client, 'unread' messages in the Incoming Queue are displayed using a green font to distinguish them.
9. Why do Outgoing Faxes sit on the server with a status of "Waiting" ?

Note: Daylight Saving Time ends in North America on November 4, 2007. 4-Sight FAX Customers in North America who see faxes waiting on the Fax Server on Monday, November 5, should quit Fax Server, wait 30 seconds and relaunch to resolve this issue.
- Scheduled fax -- The fax is scheduled to be sent at a later time.
- Backlogged -- When the server is backlogged with faxes to image, print or send, all newly submitted faxes will show a 'Waiting' status until the backlogged tasks are completed.
- Open Dialog Window -- An open dialog window on the Fax Server may cause Outgoing faxes to remain in Waiting status and may also block Incoming faxes from being received. As a matter of course, no window should be left open on the Fax Server other than the Incoming Queue window, the Outgoing Queue window and/or the Users window if desired. All other windows should remain closed except when they are in use.
- Printing has priority -- Printing is on but Prioritize imaging over printing is not enabled. To correct this problem, go to Setup->Printing. If the Printing Configuration has the Printed copy of messages option checked, make sure that Prioritize imaging over printing is also checked.
- It's about time... -- Another possible cause for an outgoing fax to remain in "Waiting" status is that the time on the Fax Client’s clock differs from the time on the Fax Server’s clock by a significant number of minutes. Check the Date/Time settings on both machines and make sure the date, time (including AM/PM), DST (Daylight Savings Time) and time zone are set correctly. To avoid problems in the future, enable automatic date and time setting in Mac OS X System Preferences -> Date & Time for all 4-Sight FAX Clients and the Fax Server.
- File Permissions... There may be a problem with File Permissions on the Fax Server as discussed in Server FAQ #3.

11. Faxes that look fine in 4-Sight Fax Preview come out in an enlarged font on the receiving fax machine. How do I correct this?

This can happen when the resolution of an attachment is higher than that of the Cover Page. To avoid this problem in the future, do this on the Fax Server...
1. Setup
2. Cover Pages
3. If Resolution is set to *** Standard, change it to *** Fine and click OK
4. Users who are logged in should log out and log in again to receive the change
12. What is the meaning of messages in the Fault Log? 
The Fault Log is found in the Macintosh HD ->Applications ->4-Sight Fax Server 7 folder. Open the Fault Log and examine it for errors. The most recent errors are at the bottom of the list.
- "No Dialtone" means the line is dead or the line is still open due to an error on a previous call. To troubleshoot this issue, unplug the wall cord from the modem and plug that very same plug into a telephone or fax machine and listen for dial tone in the receiver. If you do not hear dial tone, it is possible that the wall cord is defective or that the telephone wall jack is not active. If there is anything other than a flat wall cord between the wall and the modem, any of those parts could be defective and preventing the dial tone from actually reaching the modem. Defective adapters, DSL filters and splitters are not uncommon. Remove one part at a time until the defective part is identified.
- "Busy" means a busy signal was detected on the line. If this appears several times in a row for the same fax number, the number itself is likely incorrect. As a test, call the same number from your desk telephone to see if a fax machine answers.
- "No Carrier" or "Modem reported: <11> No answer, busy, or failed initial handshake with remote device" can mean one of 4 things...
1. No answer - the outgoing call was not answered
2. Busy - the called number was busy
3. Wrong number - The outgoing call was answered but not by a fax machine
4. Busy - The line was busy but the local telephone company gave a recorded message, such as: "This line is busy. For a fee of $1.95, we will keep trying this line for the next 30 minutes."
- For " No carrier " and " Modem reported: <11> No answer, busy, etc.", examine the number that was dialed for obvious errors. Check your Country Code and Area Code as shown in Fax Server -> Dialing Setup. The Country Code for United States is 1 and a chart of Country Codes is available on the Internet. Area Code Rules should be completed as necessary. For example, in Atlanta, Georgia, the local dialing district consists of 3 area codes - 404, 678, 770. Ten-digit dialing is required for all numbers in all 3 area codes but the use of a preceding 1 is not allowed. In Area Code Rules, Always dial area code (10-digit dialing) is enabled. Because the Soft Solutions, Inc, fax number is in area code 770, the other two area codes, 404 and 678 are listed in Outside my area code: Do not dial 1 for the following area codes.
- If the Fault Log contains errors beyond those listed here and you are using MultiTech's MT 5634 ZBA-USB-V.92 modem, please confirm that your modem is at firmware version 2.32i.
- If you are still having difficulty sending or receiving faxes, please send your Fault Log to 4-Sight FAX Technical Support.
13. I am moving my Fax Server to a new computer. How do I do this? 
1. Perform a basic install of your version of 4-Sight FAX Server on the new computer.
2. Copy the 4-Sight Fax Server 7 folder from the old computer to the new computer.
3. Navigate to the Macintosh HD / Users / {Home} / Library / Preferences / 4-Sight Fax folder
4. Copy the 4-Sight Fax folder to the new computer.
5. With the new computer connected to the Internet, launch Fax Server and go to Setup -> Licensing...
6. Click On-line Registration to open a form in your Internet browser
7. Follow the instructions and submit the form so that Customer Service can create a new Activation Code / License File for your new computer.
8. If you used the Queues & Archives dialog under the Fax Server -> Setup menu to create folders in locations foreign to the 4-Sight Fax Server 7 folder, you will need to copy those folders as well.
14. What port do I need to open in the Mac OS X firewall?
You will need to open port 8008, which is the 4-Sight FAX default. This also applies to any other firewall product that may be in use. Here are the steps for the Apple Firewall:
1. In System Preferences, select Sharing and then select the Firewall tab.
2. Click New and add port 8008 as Other.
3. If you prefer to use a different port, create the desired port in the Firewall, then go to Setup -> TCP/IP on the Fax Server and specify the same port.
4. After closing the TCP/IP dialog, quit Fax Server and restart the host computer in order for the change to take effect.
If port 8008 is not open in the firewall or the TCP/IP address of the Fax Server has changed, a "Server unreachable" message may result on the Fax Client. This same "Server unreachable" message may occur if a Setup dialog remains open on the Fax Server. Be sure to close all windows on the Fax Server other than the Incoming Queue window, the Outgoing Queue window and/or the Users window if desired. All other windows should remain closed except when they are in use.
Reminder: The 4-Sight FAX Server host computer should have a static (manual) TCP/IP address to ensure that Fax Clients will always know where to find the Fax Server.
15. Can I run the Fax Server and the Fax Client on the same machine? 
Yes. Both 4-Sight FAX Server and 4-Sight FAX Client can run together on a single Mac. We have customers who prefer to run both parts of 4-Sight FAX on one machine. Typically this is not a problem as far as performance is concerned. In networked environments, 4-Sight FAX Administrators find that running a Fax Client on the same machine as the Fax Server can be quite convenient.
16. How do I setup and use the Email Forwarding feature?

You must be licensed to utilize the Fax Forward to Email feature (contact Soft Solutions or your local reseller for pricing details). To confirm your license, go to Setup -> Licensing on the Fax Server. At the bottom of the dialog, examine Installation Info to verify that there are enough Email Forward Users to meet your needs. If you do not see the words "email forward users," contact Customer Service to see if there is a problem with your license. When properly licensed, you can setup Fax Forward to Email by following these steps:
1. On 4-Sight Fax Server -
- Go to Setup->Security Setup->User Setup. Select a User and click Edit. In the Edit User dialog, make sure Enable Email Suite is checked along with Enable Email Forwarding. The Incoming and Outgoing email addresses should be valid and accurate.
- Go to Setup->Email and make sure the SMTP server field is populated with the correct name of your SMTP server and that your SMTP port is correct (the default is 25). This information is usually available in account settings in your email program. The most common error is to supply SMTP authentication strings when none is required. Most SMTP servers do not require authentication. Make sure the 'From' email address is populated with a valid email account. Most often, a special email account is created in the email system for this purpose with a name such as fax@yourcompany.com
- Information for solving email problems can be found in the Email Log in the 4-Sight Fax Server 7 folder. The Email Log contains messages created by the Email Suite. Error codes are typically four (4) digits in length. If the error code begins with three (3), the next three digits represent a standard SMTP Reply Code. For instance, error code 3535 translates to SMTP Error 535 - SMTP Authentication unsuccessful/Bad username or password. If you are having a problem, please send your Email Log to us for further analysis.
- Column headings for data in the Email Log are as follows...
Fax File, From, To, From Email Address, To Email Address, Subject, Date & Time, Send Result, Fail Reason.
The "Send Result" will be zero when successful, otherwise it is the error number.
2. On the Fax Client* -
- Select a User in the Folder List
- On the menu bar, click Tools->Account Settings...
- Select the Email tab
- Enable Fax Forwarding to Email shuld be checked
*You must be logged in from the Fax Client in order to change this preference.
After Email Forwarding is configured for a User, all faxes assigned to that User will be forwarded to the user's email account. Note that the fax is forwarded only after the fax is assigned to that user. Fax assignment can be automatic or manual. If the fax is assigned to a Group, everyone in the Group with Email Forwarding will receive an email copy of the fax.
17. In 4-Sight FAX v7, my Fax Server and Fax Clients are unable to agree on the correct time for Incoming & Outgoing faxes. What should I do?
Timing issues related to changing the period for Daylight Saving Time in North America for 2007 are resolved in 4-Sight FAX v7.0.4. For our international customers, 4-Sight FAX v7.0.4 resolves the issue of Outgoing faxes that where held on the Fax Server for 120 minutes after they were submitted from the Fax Client. 4-Sight Fax Server 7.0.4 and 4-Sight Fax Client 7.0.4 are available by clicking the Customer Download link under QUICK LINKS at the top of this page.
18. How can I use a central address book (on the server*) that can be accessed by every Client?

The Server Address Book can be created or updated in bulk by importing a tab-delimited file from almost any spreadsheet or database application. See page 60 of the 4-Sight FAX Server v7 Administrator's Guide for more information.
To manually add entries to the Server Address Book*, follow these steps on the Fax Server:
- Setup->Server Address Book->New->Type the Name, Number, and Address for the entry then click OK
*Server Address Book entries can be made from the Fax Client by Users who have appropriate privileges as defined by the Fax Server Administrator. For more information on managing the Server Address Book from the Fax Client, click here.
19. Why can't I find any Server Address Book entries?
You must be logged in to the Fax Server to see the entries in the Server Address Book. If you are logged in, you will see the Server Address book entries when you compose a fax. A blue ball icon to the left of the name indicates a Contact listed in the Server Address Book.
Note: If the Server Address Book contains several hundred entries or more, it will take from 5 to 8 minutes to download the list of names to the Fax Client after logging in. Please allow enough time for the download to complete before searching the Address Book.
20. I want to relaunch Fax Server at midnight (or thereafter) each day automatically. How can I do this?

Legal Disclaimer: Soft Solutions, Inc. offers the following AppleScript application as a courtesy to our customers. While this script represents one solution to the question at hand, other solutions are possible and are not excluded. This script is not covered under the License Agreement for 4-Sight FAX.
Notes: Once unstuffed, RestartServerAgent.sitx.hqx is an AppleScript application that will restart the 4-Sight Fax Server at midnight (or thereafter) every day. Connected users will be disconnected when the script runs. This application needs to be running all the time, however. The application's AppleScript source code can be edited by dragging and dropping it onto the Script Editor application which is located in the Applications->AppleScript folder. The first variable (labeled 'theRestartTime') in the script is the number of seconds past midnight that you want to have the Fax Server restarted. If the value is to be changed, then the application needs to be compiled (click on the Compile icon at the top of the window). Additional considerations:
- Customers using MultiTech's MT 5634 ZBA-USB-V.92 modem should be at firmware version 2.32i.
- By default, when 4-Sight Fax Server is restarted, it checks the 4-Sight FAX Web site to see if a newer version is available. If a newer version is available, a user response is required to clear the resulting dialog. If no response is supplied, the Fax Server hangs at that point. This is not the desired behavior in most remote and automatic restart scenarios. See next question...
21. How can I disable the 4-Sight FAX Version Checker in 4-Sight FAX Server? 
Open TextEdit and create a new text file named "Internet Options" without the quotes. This file will contain only 2 lines as follows...
FileVersion=1.0
AutoUpdateCheck=off
Quit Fax Server, then place this file into the Fax Server Data folder under the 4-Sight Fax Server 7 folder and launch Fax Server. When it launches, Fax Server looks in the Fax Server Data folder for the file named Internet Options. If the file is present and contains the line 'AutoUpdateCheck=off' then the query to the 4-Sight Fax Web site will be bypassed and Fax Server will proceed to launch.
22. How do I detect my modem in 4-Sight FAX Server v7.0.5? 
Note: In order to detect your modem, Enable Incoming must be disabled. The procedure below assumes the modem is already in use for Incoming faxes and includes the step to disable Incoming before detecting the modem.
1. On the Fax Server menu bar, go to Setup -> Device
2. Select the desired Fax Line
3. Click Communication
4. If the port selection is not correct, select the proper port from the list
5. Click OK
5. If there is a check in the box beside Enable Incoming, click on the check to remove it
6. Click Apply
7. Click into the Type selection list and scroll to the top of the list
8. Click Detect
9. Wait 30 - 40 seconds for the modem to be detected
10. The communications port and the type of modem will be displayed in a separate dialog box
11. Click Select and the modem type will appear as Type in Device Setup
12. If you are receiving Incoming faxes on this line, click the box beside Enable Incoming
13. Click Apply
14. Repeat these steps for additional Fax Lines if desired
15. Click the red gumdrop to close Device Setup
Note: When the modem is detected, the Technical Information about the modem is written to the DebugLog.txt file for future reference. While Device Setup is open, Fax Server will not send or receive faxes. Be sure to close Device Setup when modem detection is completed.
23. What logs are available for troubleshooting technical issues in 4-Sight FAX Server v7? 
On the 4-Sight FAX Server host computer in the Applications -> 4-Sight Fax Server 7 folder, you will find the following logs. These logs should be examined for any clues they may yield. In addition, you may compress (zip) these logs and submit them to Soft Solutions for further analysis.
- DebugLog.txt contains messages created by 4-Sight FAX Server.
- Fault Log contains messages created by the modem(s) attached to 4-Sight FAX Server.
- Email Log contains messages created by the 4-Sight FAX Email Suite.
General
1. What is the best way to communicate with Soft Solutions, Inc. Technical Support to resolve a software-related problem?

If you are having a problem with the Fax Server, please archive (zip) or compress DebugLog.txt along with the Fault Log and send to support@softsinc.com along with a description of the problem. Both DebugLog.txt and Fault Log are found in the 4-Sight Fax Server 7 folder.
If the Fax Server or the Fax Client quit unexpectedly, look for a crash log in the following folder...
Macintosh HD->Users->{Home}->Library->Logs->CrashReporter
with the name Fax Client.crash.log or Fax Server.crash.log and send that log as well.
If you should have a problem with the 4-Sight FAX client software, you can submit an Incident Report through the 4-Sight Fax Client by following these steps:
- On the Fax Client, go to
- Help->Email Technical Support...
- Enter as much information as you can, including...

2. Does 4-Sight FAX support VPN connections?

VPN connections are supported by the Mac OS X version of 4-Sight Fax Client. The 4-Sight Fax Client for Microsoft® Windows® does not currently operate across a VPN connection. We are considering added VPN support for the Windows Fax Client in 4-Sight FAX 8.
3. I've recently upgraded from Version 4.1 of 4-Sight Fax. Can I still view my old faxes in 4-Sight FAX v5?

Yes, faxes that are in your version 4 archive or queue folders can be opened, viewed and printed in the version 5 Fax Server. Simply go to the File menu in the version 5 Fax Server, and select Open. Now locate the fax and open it the same way you would open a version 5 fax.
4. Is there a way to speed up printing in OS X?

While the 4-Sight Fax client is a java application, it must go through the Java Virtual Machine (JVM) for printing. Because the JVM creates temporary files for each print job, these files can become so large that it may take a long time to process.
The workaround for this issue is to print directly from Adobe Acrobat Reader®. To do this, follow these steps in Acrobat Reader*:
- File->Print->Choose the Print via PDF option then click Print
*You will need Acrobat Reader installed on your system.
5. Is there a way to speed up Windows printing to my PCL or Postscript printer?

When printing viewed faxes to Postscript and PCL printers it's important that all optimizations are enabled in the printer driver's set-up (especially the compress bitmaps option, if present) to make sure the spool files aren't too large and as a result take longer than expected to print.
6. What's the difference between a Saved Fax and a Pending Fax?
A Pending Fax is one that you have tried to send to the server unsuccessfully, probably because your Fax Client was not connected to the Fax Server at the time. Once a Pending Fax is successfully sent to the server, it is removed from the client's Pending Faxes folder and is no longer in a pending state.
A Saved Fax exists as a file that is accessible on your machine. You can open and send a Saved Fax multiple times and it will continue to be available. To remove a Saved Fax, you have to physically delete it from the file system the same way you delete any other file.
Both Pending Faxes and Saved Faxes are editable.
7. What's the difference between Resend and Forward?

Resend is available on Outgoing faxes that have been Rejected. You may change a limited set of fields when you resend a fax, but you are dealing with a fax that is already on the server.
Forward is also available for Outgoing faxes, but it simply downloads the fax attachments and loads them into a Composer for you to finish composing the fax. When you Send it, a completely new fax will exist on the server, but it will be based on the attachments you selected to forward.
Forward is also available on faxes stored locally in your Sent Faxes folder or in any of your User Folders. The success of Forwarding from User Folders depends on the format of the fax as it was received. Formats of RLE may be forwarded without problem. Other formats will have to be converted before they can be used.
To convert one of these files using the 4-Sight Fax client, create a New Fax, select the file as an attachment then complete the composition of your fax.
8. Why does my fax show one timestamp in the Sent Faxes folder and a different timestamp in the Outgoing Faxes folder?

There are relatively small discrepancies in the system clocks of the client and server machines, sometimes resulting in timestamp differences.
9. What happens to a scheduled fax?

Scheduling simply sets the date and time that you want the fax to be sent out by the Fax Server. After the scheduled fax is submitted to the Fax Server, it is held in a “Waiting” state until the Fax Server is ready to image the fax. Imaging can occur up to 20 minutes before the fax is scheduled to be sent, depending on conditions. After the fax is imaged, it remains in “Imaged” status until the appointed time for delivery.
10. Why are my Urgent, ASAP or Important faxes rejected by the Fax Server?

If you are not permitted to send Priority faxes, any fax with a priority above 'Normal' will be rejected with the reason "Was rejected because you are not permitted to send urgent faxes."
Permission to send Priority faxes is granted or denied on the Fax Server in User Setup. If you compose a fax while not connected to the server, the client will allow all priorities to be set, regardless of what is in the server configuration. When a connection is made to the server, the error "Was rejected because you are not permitted to send Urgent faxes" will occur.
To prevent 'ASAP' and 'Important' faxes from being rejected, follow these ste
